Privacy Policy
Last updated: October 13, 2026
Athlete Studio LLC and Fastpitch Studio ("Athlete Studio," "we," "us") provide Athlete Studio: the website at athletestudio.pro and the Athlete Studio mobile, tablet and watch apps. This policy explains what information we collect, how we use it, who can see it, and the choices you have. It applies to coaches, staff, athletes, parents and guardians, and visitors. By using Athlete Studio you agree to this policy and to our Terms of Service.
How Athlete Studio Works
Athlete Studio is used by training organizations: studios, academies, teams and individual coaches. Each organization has its own workspace. The organization decides which athletes it adds, what it records about them, which coaches and staff can see them, and which features it turns on. Athlete information in an organization's workspace is collected and used for that organization, and we process it on the organization's behalf as described here. If you have questions about how a particular organization uses your or your child's information, you can also ask that organization.
Fastpitch Studio is our own training business and is also one of the organizations that uses Athlete Studio.
Information We Collect
Account and contact information
Name, email address, phone number, profile photo, your role (coach, staff, athlete or parent), and the organization you belong to. Passwords and sign-in are handled by our sign-in provider; we don't store your password.
Athlete profiles
Name, birth date, gender, throwing hand, positions, team, training goals, and the parents or guardians and coaches linked to the athlete.
Training and performance information
- Training sessions, workouts, programs and plans, and what was completed.
- Charted pitches and games, including the names or numbers of opposing batters a coach enters.
- Ball flight measurements (for example from Rapsodo or PitchLogic), radar velocity, and force plate tests (for example from Hawkin Dynamics), which include body weight and jump measurements.
- Assessments, saved reports, training journal entries, and notes coaches write, including notes visible only to coaches.
Health, wellness and body information
Organizations can use features that collect information about an athlete's health and body:
- Wellness check-ins: readiness to train, soreness and where it is, pain and injury descriptions, and, unless the organization turns it off, whether the athlete is currently on their menstrual cycle (not asked of male athletes).
- Heart rate from an Apple Watch or Wear OS watch worn during a training session. It is recorded throughout the session and uploaded about every 30 seconds; the first upload can include a few minutes from just before the session started. Coaches who wear a watch to monitor a session are recorded the same way.
- Motion data from wrist sensors (such as Movesense or HackMotion), including the raw sensor file saved with a pitch video.
- Body measurements and growth estimates: standing and sitting height, weight, limb lengths, and estimates of physical maturity calculated from them.
This information is used for coaching and training. It is not medical information, and Athlete Studio does not diagnose or treat anything. We never sell it or use it for advertising.
Videos, photos and audio
Videos and photos that coaches and athletes record or upload, and documents attached to messages or plans. If your device stores where a photo or video was taken inside the file, that information can stay in the file you upload. When a coach describes a drill out loud in the iPhone or iPad app, the speech is turned into text on the device, and we store the text. Video motion analysis also runs on the device.
Payments
Payments are processed by Stripe. We store the card brand, the last four digits and the expiry date so you can recognize a saved card; full card numbers go to Stripe, not to us.
Messages and notifications
- In-app chat between coaches, athletes and parents, including attachments. Organization administrators can read their organization’s conversations, and parents can read their child’s. Edited and deleted messages are kept on our servers so conversations involving minors can be reviewed for safety.
- Emails and text messages we send for your organization, such as booking confirmations and reminders. For text messages we keep a record of your consent (the phone number, when and how you agreed, and the device and network it came from) and of your replies such as STOP.
- Push notifications to your devices.
We do not share mobile phone numbers or text message opt-in information with third parties or affiliates for their marketing or promotional purposes. Text message consent is shared only with the providers that deliver our messages.
Signed agreements
When you sign a waiver or agreement in Athlete Studio we keep your name, your signature, when you signed, the device or browser you used, and your approximate location at the time (city, region and country, not a precise address).
Devices and usage
- Device name and model, app and watch identifiers, push notification tokens, and the Bluetooth devices you pair with Athlete Studio, such as radars, sensors and card readers.
- Location: the apps ask for location only where a card reader requires it to take in-person payments. We don’t track your location.
- How you use Athlete Studio, through product analytics. On the website this can include recordings of a session in which personal information on the screen and anything you type is hidden. We also keep app diagnostic logs for 30 days to fix problems.
Connected calendars and services
If a coach connects a Google, Outlook or iCloud calendar, we store the access it grants, encrypted, and add the sessions they coach to that calendar, including the athletes' names. If an organization connects a force plate account, we import its athletes and tests.
How We Use Information
- To run Athlete Studio: training, scheduling, bookings, billing, reports, messages and reminders.
- To alert an athlete’s coaches when a wellness check-in reports soreness, pain or another answer the organization asked to be told about.
- To provide support. With your organization’s permission or to resolve a problem, our staff may access your organization’s workspace.
- To keep Athlete Studio secure, prevent misuse, and meet legal obligations.
- To research and improve Athlete Studio, including building models such as pitch velocity estimates. We do this internally; anything we share or publish outside Athlete Studio is de-identified or combined so no individual can be identified.
- To send you information about Athlete Studio. You can unsubscribe from marketing emails at any time.
We do not sell personal information, and we do not show third-party advertising or use personal information for targeted advertising.
AI Features
AI features built into Athlete Studio
Some features use AI provided by Anthropic. Each sends only what that feature needs, when a person uses it:
- Drafting a training program from a coach’s description and the organization’s workout library.
- Drafting a drill or workout description from what a coach recorded.
- Reading an athlete roster file when it can’t be read automatically (names, birth dates and parent contacts in the file).
- Reading a photo of a game lineup, or of a Rapsodo screen.
- Designing and writing emails an organization sends.
Anthropic processes this information for us under business terms that do not allow it to train its models on it. AI results can be wrong, so check them before relying on them.
AI agents you connect
If your organization turns on agent access, a coach or staff member can connect their own AI agent, such as Claude or ChatGPT, to Athlete Studio. The agent then acts for that coach and can read the athlete information that coach can already see in Athlete Studio, including information about athletes under 13, to answer the coach's questions and draft plans for the coach to review. That includes training, performance, wellness and journal information and coach notes. Agents do not receive athletes' birth dates (only an age range), contact details or menstrual-cycle answers.
Information sent to the agent is handled by the agent's provider under the coach's own agreement with that provider, not under this policy. An agent cannot publish a plan, assign training, change a record, or contact athletes or families. Athlete Studio records each request an agent makes. An organization administrator can turn agent access off at any time, and each coach can disconnect their agent.
Who Can See Your Information
- People in your organization, according to their role: coaches and staff the organization gives access, organization administrators, the athlete, and the athlete’s parents or guardians.
- Anyone you give a share link to, such as a link to a report or a video, until the link expires or is turned off.
- Service providers that process information for us, under agreements that limit them to providing their service (listed below).
- Others when required by law, to protect someone’s safety, or as part of a merger, acquisition or sale of our business, in which case this policy continues to apply.

Apple Health and Watch Data
During a training session, the Athlete Studio watch app reads heart rate from the watch's workout session and sends it to the athlete's organization in Athlete Studio. If the athlete turns it on (it is off by default), the watch also saves the session as a workout in Apple Health. We do not read other Apple Health data. Information from Apple Health and from watch sensors is never used for advertising, sold, or shared with anyone other than the athlete's organization and the service providers that run Athlete Studio.
Children and Teens
Athlete Studio is used to coach athletes of all ages, including children under 13. A child under 13 does not create their own account: a parent or guardian adds them, or their organization does. An organization that adds an athlete under 13 is responsible for having the parent's or guardian's consent, and Athlete Studio asks a parent or guardian to confirm that consent when an athlete under 13 is added. We use a child's information only to provide the services their organization and parent requested, and we do not ask for more than is needed to take part.
Parents and guardians can review their child's information, correct it, withdraw consent, or ask us to delete it by contacting their organization or us at support @ athletestudio.pro.
Featuring Athletes
Each organization decides whether and how it features its own athletes, for example by sharing a highlight video, and is responsible for having permission to do so. Athlete Studio does not use an athlete's videos, photos or results in its own marketing without permission from the athlete (or a parent or guardian) and their organization.
Keeping and Deleting Information
We keep information while an account and its organization use Athlete Studio, and as long as needed for the purposes above and our legal obligations. Deleted videos and workouts stay in a trash for 30 days before they are removed. Share links expire after 30 to 90 days. Diagnostic logs are kept for 30 days.
You can ask to delete your account in the app or at athletestudio.pro/delete-account. When an account is deleted, we delete the person's sign-in, contact details, saved cards and the files they uploaded, along with the athlete's health and wellness information. We keep what we are required to keep, such as payment records and the record of text message consent. The organization may keep the training records it holds. Copies in backups expire on their normal schedule.
Your Choices and Rights
- Access, correct or delete your information, or ask for a copy of it, by contacting your organization or us at support @ athletestudio.pro.
- Unsubscribe from marketing emails with the link in any of them. Account and booking emails are still sent while you use Athlete Studio.
- Reply STOP to stop text messages.
- Turn off push notifications, or the app’s access to the camera, microphone, Bluetooth, location or Apple Health, in your device’s settings.
- Disconnect a calendar or an AI agent at any time. Organization administrators can turn agent access off for the organization.
- Depending on where you live, you may have additional rights, such as to know what we hold about you or to have it deleted. Contact us to use them; we will not treat you differently for doing so.
Cookies and Similar Technologies
We use cookies and similar technologies to keep you signed in, remember your preferences, and measure how Athlete Studio is used (with PostHog and Vercel). We do not use advertising cookies. You can block cookies in your browser, but Athlete Studio won't work without the ones that keep you signed in.
Security
We protect information with encryption in transit, encrypted storage of the access you grant to connected services, and access controls that limit what each person can see. No system is perfectly secure, and we cannot guarantee that information will never be accessed without permission. If that happens, we will notify you as the law requires.
Where Information Is Processed
Athlete Studio is operated from the United States, and our service providers store and process information in the United States and other countries where they operate.
Changes to This Policy
We will update this policy as Athlete Studio changes and show the date at the top. If a change is significant, we will tell you in Athlete Studio or by email before it takes effect.
